Job Description

We have an exciting opportunity for a Sixth Form, Higher Education and Careers Administrator to join our Schools. The position will be based at our Senior School Site, Fenham, Newcastle.

Reporting to the Head of Sixth Form and Head of Careers, the post holder will provide administrative support to aid in the continual development of the fantastic Sixth Form and nationally celebrated outstanding CEIAG provision at Dame Allan’s Schools.

We are looking for an enthusiastic and motivated individual who is able to work on their own initiative and as part of a team. The selected individual needs to be an excellent communicator, well organised and have meticulous administration skills as well as the ability to solve problems. The role will focus primarily on events, work experience, community service and promoting purposeful learning and opportunities for students.

Key Duties and Responsibilities

● Support the Head of Sixth Form and Head of Careers in administrative duties.

● Support events planning including careers fairs, higher education evenings, mock interviews and leavers’ events.

● Work Experience Coordinator and Administrator.

● Community Service Coordinator and Administrator.

● Promote the culture of focused study and a purposeful learning environment in the Sixth Form.

● Sixth Form Societies Coordinator.

● Support the administration of UCAS, Unifrog and the Morrisby careers guidance platforms.

● Communicate with key stakeholders including parents, employers, students, alumni and external organisations.

● Minute meetings.

● Use, develop and maintain contacts databases for employer, HE, parent and Allanian Alumni engagement.

● Support with resources, content management of websites, social media and displays.

● Support in evaluation to ensure continuous improvement of the whole school and Sixth Form Careers provision (based on, for example DfE’s Careers Strategy, the CDI and the Gatsby Benchmarks).

Safeguarding Matters

● Undertake annual safeguarding training and adhere to Schools’ safeguarding procedures.

● Ensure appropriate vetting for work experience and community service placements via external vetting companies.

● Ensure appropriate arrangements are in place for supervision of occasional or regular visitors; liaise with HR Manager for advice as necessary. Confidentiality and Data Protection:

● Maintain strict confidentiality of all information belonging to the Schools. It is important, and a condition of employment, that all information of any kind is treated confidentially and is not disclosed or used other than as authorised and in the proper performance of the Schools’ business.

● Adhere to and promote compliance with Data Protection policies.

General

● To use IT systems as required to carry out the duties of the post in the most efficient and effective manner.

● Keep up to date with Health and Safety requirements.

● Adhere to and promote compliance with Health and Safety Policies.

● To carry out any other reasonable duties that may be requested by the Principal, Bursar, Head of Sixth Form or Head of Careers.

● Attend any mandatory training and identify any training opportunities or needs during appraisal.

● Attend development training as identified by the Schools.

Person Specification

Essential

  • Hold 5 GCSEs (or equivalent) grade A-C or equivalent in English and Mathematics;
  • Education to A level or equivalent;
  • Experience of general administrative work with a professional approach to work, meticulous attention to detail;
  • Experience of IT systems, e.g. email, documents, spreadsheets, presentations;
  • Experience of events management (project management, meeting deadlines);
  • Experience of producing positive results and progress against set objectives;

Desirable

  • Higher Education qualification;
  • Experience of using Google Suite;
  • Experience of working in a school environment; liaising with pupils, staff and parents;
  • Knowledge of higher education application process and careers guidance;
